TITLE: AMENDMENT 3 TO A PUBLIC WORKS AGREEMENT WITH SOUTHCOAST HEATING AND AIR FOR HVAC REPAIR AND REPLACEMENT SERVICES

Staff recommends that the City Council approve Amendment 3 in the amount of $60,832 to the Public Works Agreement (PWA) with Southcoast Heating and Air for a revised contract amount of $147,580 for additional Heating and Air Conditioning (HVAC) repair and replacement services for City buildings; authorize the City Manager, or designee, to execute the amendment upon receipt of all supporting documents; and authorize the Financial Services Director, or designee, to execute the change order.

BACKGROUND AND ANALYSIS
On June 2, 2021, City Council approved a three-year Public Works Agreement with Southcoast Heating and Air for HVAC Preventive Maintenance Services for 21 City buildings. On June 8, 2021, Amendment 1 added preventive maintenance for seven additional locations. On October 1, 2024, Amendment 2 was approved administratively and added additional $12,000 for compensation to offset annual gas, labor and supply increases.
Amendment 3 to the PWA includes an increase to the compensation of an additional $1,100 for eight locations to account for additional material, labor and fuel costs for repair services and replacement of HVAC units citywide. Amendment 3 also adds additional compensation for preventive maintenance services for seven additional locations as listed below.

FISCAL IMPACT
Amendment 3 to the PWA with Southcoast Heating and Air in the amount of $60,832 will be charged to the accounts listed in the table below. The available balance for each business unit is reflected below; therefore, sufficient funds are available.
