TITLE: CHANGE ORDER WITH VULCAN MATERIALS FOR ASPHALT REPAIRS
RECOMMENDATION
title
Staff recommends that the City Council approve a change order to increase an existing purchase order with Vulcan Materials for asphalt, in the amount of $230,000, for a revised total of $330,000; approve the purchase as a sole source justification; and authorize the Financial Services Director, or designee, to execute the change order.
body
BACKGROUND AND ANALYSIS
Public Works has an approved purchase order with Vulcan Materials (formerly Superior Ready Mix Concrete) in the amount of $100,000. Vulcan Materials is considered a sole source as they are the only asphalt plant within the required delivery area. Asphalt is temperature sensitive and all other asphalt plants are too far away to deliver hot asphalt. This purchase enables the Public Works Department to carry out essential roadway repairs throughout the City.
The additional funding will support the continued procurement of asphalt materials necessary for routine pothole repairs, as well as more extensive rehabilitation of major arterial roadways across the City.
FISCAL IMPACT
The change order with Vulcan Materials, in the amount of $230,000, will be charged to the Street and Median Maintenance SB1 account 902165520265.5320.10600 which has an available balance of $260,000, therefore, there are sufficient funds. Staff is requesting to move $260,000 from the Capital object code 5703.10600 to the Maintenance and Operations code 5320.10600 in order to ensure funding within the correct object code.
