TITLE: CHANGE ORDER TO INCREASE FUNDING FOR REPUBLIC EVS RELATED TO THE PURCHASE OF FOUR TYPE 1 AMBULANCES

Staff recommends that the City Council approve a change order to increase an existing purchase order with Republic EVS for ambulance chassis price increases, in the amount of $38,936, for a revised total of $1,349,317; and authorize the Financial Services Director, or designee, to execute the change order upon receipt of all supporting documents.

BACKGROUND AND ANALYSIS
On February 23, 2022, the City Council approved a purchase order to Republic EVS, in the amount of $1,310,381, to procure four rescue ambulances. The ambulances were on backorder for two years and arrived in 2024. Due to the delay, there was an increase in the original chassis price.
Staff is requesting an increase in the amount of $38,936 with Republic EVS. Due to manufacturer delays and shortages, the manufacturer's cost to build the ambulances has increased. The price increase is $54,268, however due to a contingency built into the purchase order, staff is only requesting the difference needed.
FISCAL IMPACT
The change order with Republic EVS, in the amount of $38,936, will be charged to the Fleet Replacement account 620609831.5705. Staff is requesting to use reserves in the amount of $38,936 from the Restricted Fleet Replacement account 831.3100.0028 and appropriate to the Fleet Replacement account 620609831.5705. The funding source is Fleet Replacement reserves which has an available balance of $9.9 million; therefore, sufficient funds are available.
